Whether you're joining a trekking adventure, peak climbing expedition, motorbike tour, wildlife safari, or cultural journey, our booking and payment process is designed to give you complete peace of mind.

How to Book

Booking your adventure with Trekadviser is quick and easy.

Step 1 – Choose Your Adventure

Browse our range of trekking, climbing, expedition, cultural tour, and motorbike packages. Each itinerary includes detailed information about the duration, difficulty, highlights, pricing, inclusions, exclusions, and available departure dates.

Step 2 – Send Your Enquiry

If you have any questions or would like a customized itinerary, simply contact us through our website, email, WhatsApp, or phone. Our travel experts will help you choose the best adventure based on your interests, experience, and travel dates.

Step 3 – Confirm Your Trip

Once you are happy with your itinerary and quotation, we will send you a booking confirmation, payment instructions, and any additional documents required to secure your reservation.

Step 4 – Pay the Booking Deposit

A booking deposit is required to confirm your reservation. Once we receive your payment, we will immediately begin arranging your hotels, transportation, trekking permits, guides, porters, domestic flights, and other travel services.

Step 5 – Prepare for Your Journey

After your booking is confirmed, we will provide you with a complete pre-departure information package, including visa guidance, packing lists, equipment recommendations, arrival instructions, and important travel advice to help you prepare for your Himalayan adventure.

Booking Confirmation

Your booking is officially confirmed when:

We receive your completed booking form.
The required deposit or full payment has been successfully received.
You receive an official written confirmation from Trekadviser Pvt. Ltd.

Until you receive our confirmation, availability cannot be guaranteed.

Deposit Requirements

To secure your booking, we require a deposit before we begin making travel arrangements.

Standard Booking Policy

Standard Treks & Tours: 20% deposit
Peak Climbing & Expeditions: 30% deposit
Restricted Area Treks & Special Expeditions: Deposit requirements may vary depending on permit regulations and logistical arrangements.
Last-Minute Bookings: Full payment may be required before confirmation.

Your booking deposit is used to:

Reserve hotels and tea houses.
Book domestic flights (where applicable).
Process trekking and climbing permits.
Arrange transportation.
Confirm trekking guides and porters.
Secure expedition logistics and government approvals.

The remaining balance must be paid after your arrival in Nepal and before the start of your trip, unless otherwise agreed in writing.

After receiving your deposit, we will send you:

Payment Receipt
Hotel Reservation Confirmation (if applicable)

Payment Options

We offer multiple secure payment options for our guests worldwide.

Option 1 – Euro (EUR) SEPA Bank Transfer (European Union)

Guests within the European Union can conveniently make a SEPA transfer to our authorized representative in Germany, helping reduce international transfer costs.

Option 4 – Credit & Debit Card Payment

For your convenience, Trekadviser accepts all major international and domestic credit and debit cards, including:

Other supported card networks

All card payments are processed securely through our payment gateway in Nepal.

Please note that a 3% card processing fee applies to all credit and debit card payments. This fee is charged by the payment gateway and banking institutions and will be added to your total payment amount.

Option 5 – Wise (formerly TransferWise)

Wise provides a fast, secure, and cost-effective way to make international payments with competitive exchange rates and lower transfer fees.

Option 6 – Cash Payment in Nepal

The remaining balance may be paid in cash upon your arrival in Kathmandu before your trip begins, subject to prior agreement.

Nepalese Rupee (NPR)

Other major currencies may also be accepted based on the prevailing exchange rate.

Bank Transfer & Transaction Fees

Please note that all bank charges and payment processing fees are the responsibility of the client.

These may include:

International bank transfer fees.
Intermediary (correspondent) bank charges.
Currency conversion fees.
Payment gateway charges.
Credit and debit card processing fees (3%).
Any additional charges imposed by your bank or payment provider.

To ensure Trekadviser receives the full invoiced amount, we recommend selecting the "OUR" transfer option when making international bank transfers, where available.

International bank transfer charges typically range between 3% and 5%, depending on your bank and country.

If any transfer fees are deducted before the payment reaches Trekadviser, the deducted amount will remain payable by the client before the trip begins.

After completing your payment, please email your transaction receipt or payment confirmation to:

Once your payment has been verified, we will send your official booking confirmation, payment receipt, hotel confirmation (if applicable), and other travel documents.

Payment Security

Your financial security is important to us.

All online payments are processed through secure banking systems and encrypted payment gateways using industry-standard security protocols.

Trekadviser does not store your complete credit or debit card information on its servers.

What's Included in Your Payment

Your package price generally includes the services listed in your selected itinerary, which may include:

Licensed English-speaking trekking guide.
Porter services (where included).
Accommodation.
Meals as specified.
Ground transportation.
Domestic flights (if included).
Trekking permits.
National Park and Conservation Area entrance fees.
Government taxes and service charges.

Please refer to your selected itinerary for the complete list of inclusions and exclusions.

Additional Costs

Unless specifically stated, the following expenses are not included in your package price:

International airfare.
Nepal entry visa fees.
Comprehensive travel insurance.
Personal trekking equipment.
Personal expenses.
Tips for guides and porters.
Additional hotel nights.
Meals not specified in the itinerary.
Emergency rescue or helicopter evacuation not covered by insurance.
Costs resulting from flight delays, weather conditions, natural disasters, political unrest, strikes, pandemics, or other circumstances beyond Trekadviser's control.

Booking Changes

If you need to modify your booking, please contact us as soon as possible.

We will make every reasonable effort to accommodate your request, subject to availability and any additional costs charged by airlines, hotels, or other service providers.

Cancellation & Refunds

If you need to cancel your booking, please notify Trekadviser in writing at the earliest opportunity.

Refund eligibility and applicable cancellation charges are governed by our Cancellation & Refund Policy, which forms part of your booking agreement.

Certain permits, domestic flights, hotel reservations, and third-party services may be non-refundable.

Required Travel Documents

Before your trip begins, you may be required to provide:

A valid passport.
Passport-sized photographs.
Travel insurance details.
Emergency contact information.
Flight details.
Medical information relevant to your trip.
Additional documentation required for trekking permits, climbing permits, or restricted area permits.

Providing complete and accurate information helps us ensure a smooth and safe travel experience.

Travel Insurance

Comprehensive travel insurance is strongly recommended and may be mandatory for certain trekking, climbing, and expedition packages.

Your insurance policy should include:

High-altitude trekking and mountaineering coverage.
Emergency medical treatment.
Helicopter evacuation.
Trip cancellation and interruption.
Personal accident coverage.
Baggage loss or delay.

It is your responsibility to ensure that your insurance provides adequate coverage for your chosen adventure.
